CFILO FITNESS HUB: MEmbership terms and conditions

  1. MEMBERSHIP TERMS AND CONDITIONS

  • Scope of Service: This agreement governs participation in all fitness programs under CFILO Fitness Hub, specifically CrossFit ILO and CFILO HYROX Training Club.

  • Liability Waiver: High-intensity training involves inherent physical risks. By enrolling and making a payment, members acknowledge these risks and agree to release CFILO Fitness Hub and its staff from liability for injuries sustained during standard training activities.

  • Member Conduct: Members must adhere to all safety protocols and coach instructions. CFILO Fitness Hub reserves the right to terminate access for behavior deemed unsafe or disruptive to the community.

  • Media Release: Members grant permission for CFILO Fitness Hub to use photos or videos taken during classes for marketing and social media purposes.

2. PAYMENT POLICIES

  • Manual Payments: The Club does not utilize automatic recurring billing. Memberships (e.g., Monthly, 10-Session Pass, or Drop-in) must be paid in full at the time of purchase or renewal.

  • Access Period: Access to the facility and classes is granted only for the specific duration or number of sessions purchased. Once a membership expires or sessions are exhausted, a new payment is required to continue training.

  • No Commitment: There are no long-term contracts or cancellation fees. You simply pay for the time or sessions you intend to use.

3. REFUND AND FREEZE POLICY

  • General Non-Refundability: All membership dues, session passes, and drop-in fees are strictly non-refundable once the service period has begun or the pass has been partially used.

  • Approved Refunds: Refunds are only issued in cases of verified administrative errors (e.g., accidental double-charging at the point of sale).

  • Payment Method Alignment: To comply with banking regulations and prevent fraud, all refunds must be sent back to the original payment method.

    If a member paid by card, the refund cannot be issued in cash.

  • Processing Timelines:

    Credit/Debit Cards: Once approved by CFILO management, please allow up to 30 business days for the bank to reflect the credit on your statement. This timeline is controlled by the banking institutions, not the gym.

    E-Wallets (GCash/Maya): Expected arrival within 5–10 business days.

    Cash/Bank Transfer: Processed within 3–5 business days.

    FREEZE POLICY

  • Request Timeline: Freezes must be requested at least 5 business days in advance.

    Freeze Allowances:

    • 3-Month Membership: 1 freeze allowed (max 2 weeks).

      6-Month Membership: 1 freeze allowed (max 1 month).

      12-Month Membership: 2 freezes allowed (max 2 months total, in 2-week increments).

4. CANCELLATION POLICY

  • Booking Policy: > * All class bookings must be made via the Mindbody app or our official website schedule (iOS and Android).

    • Booking opens 48 hours before class and closes 30 minutes prior to the start time.

    • Walk-ins are permitted only if slots are available.

    Cancellation & No-Show Policy:

    • Cancellation Window: To avoid penalties, members must cancel their reservation at least two (2) hours before the scheduled class time via the Mindbody app.

    • No-Shows & Late Cancellations: To ensure fair access for the community, the following penalties apply for missed classes or cancellations made less than 2 hours before class:

      • 1st & 2nd Offense: Formal warning.

      • 3rd Offense (within a calendar month): Temporary 48-hour booking restriction.

      • 4th Offense & Beyond: A ₱150 penalty per missed class may be applied to the account.

5. SERVICE INTERRUPTIONS & BRANCH CLOSURES

From time to time, services may be temporarily unavailable due to maintenance, programming changes, equipment issues, staffing limitations, government directives, or force majeure events.

By maintaining an active membership, members acknowledge and agree that:

  • Temporary interruptions may occur at any time.

  • Membership fees remain payable for temporary closures lasting less than thirty (30) days.

  • Refund Exception: Fees are non-refundable and not subject to proration for temporary interruptions, except in the case of a permanent business closure as detailed in Section 6.

  • The Club will aim to provide extensions or credits for temporary closures at its sole discretion.

7. BUSINESS CLOSURE / CESSATION OF OPERATIONS

In the event that CFILO Fitness HUB (CrossFit ILO) permanently ceases operations or is unable to provide services for a period exceeding thirty (30) consecutive days due to circumstances including, but not limited to, financial insolvency, force majeure, government order, sale of business, or natural disaster, the following terms shall apply:

  • Notice to Members: CFILO Fitness HUB will provide formal notice to active members via email and official social media channels regarding the effective date of closure.

  • Refund of Prepaid Memberships: Active members with unused prepaid sessions or remaining membership periods shall be entitled to a pro-rated refund based on the unused portion of their membership as of the official closure date.

  • Processing of Refunds: Refunds will be processed within thirty (30) to sixty (60) days from the official closure date. To comply with banking regulations, all refunds will be issued back to the original mode of payment.

  • Temporary Closures: In the event of temporary closures (less than 30 days) due to force majeure, memberships will be frozen/extended for the affected duration rather than refunded.

  • Limitation of Liability: CFILO Fitness HUB’s liability is limited strictly to the refund of the unused portion of purchased membership fees.

8. PRIVACY POLICY

CFILO Fitness HUB (CrossFit ILO) respects your privacy. Any personal information collected through our website, Mindbody app, or in person is used solely for gym-related communications, billing, and services. We do not sell or share your data with third parties. Your information is securely stored and accessed only by authorized personnel. You may request to review or delete your information at any time by contacting us at support@crossfitilo.com.
